We are in the process of transferring Public Folders from a Exchange server to a Gmail account (Google Apps).

Outlook 2003 / 2007 is giving us a bit of trouble when moving / copying folders from a local .pst file to Gmail and is throwing up the following error:

First let me give you a bit of background:

We are currently migrating a client from an in-house Exchange server to Gmail (Google Apps). Our plan was to export all public folders to individual .pst files. Then we setup a new profile in Outlook and connected to their new gmail account via IMAP. Then we added the .pst data file to the profile so we can see their old emails and folder structure.

The intention was them to simply drag the folders from the .pst folder structure to the Gmail folder and everything would be transferred over. However some folders did not copy over properly and no matter what method we tried we could not get everything to transfer over.

However we did discover a workaround.

The Solution

Create a temporary folder on your desktop, open Outlook and the temp folder.

Open one of the folders that won’t transfer – you should see a list of emails / document.

Highlight all the emails and drag them to the temp folder (hold down shift button to Move them instead of copying them)

Once the copy is complete – you can drag the items from the temp folder to your Gmail folder structure.

We’ll post a video showing the process shortly.

Hope this helps someone.
